About the Role

As an Operation Specialist, you will play a crucial role in ensuring the smooth and efficient functioning of various operational processes within the organization. You will work closely with key internal stakeholders, including the Risk Manager and Compliance Manager, to guarantee that all client requests are efficiently and accurately processed in compliance with our established Service Level Agreements (SLAs). You will be responsible for analyzing workflows, identifying areas for improvement, implementing solutions, and optimizing procedures to enhance productivity and effectiveness. This role requires strong attention to detail, analytical skills, and the ability to collaborate with cross-functional teams.

Responsibilities

  • Executing the daily operations of the trust office and ensuring compliance with relevant regulations and policies.
  • Develop and maintain comprehensive documentation of operational procedures, guidelines, and best practices.
  • Analyze existing operational processes to identify inefficiencies, bottlenecks, and areas for improvement.
  • Standardize processes across departments or teams to ensure consistency and alignment with organizational objectives.
  • Conduct regular audits to verify adherence to established procedures and identify opportunities for refinement.
  • Order equipment, services, and supplies required for the trust office
  • Manage the physical and environmental controls with the manager of cybersecurity
  • Develop and maintain relationships with clients, addressing their needs and concerns about trust and custody services.
  • Collaborate with internal stakeholders such as legal, compliance, and risk management teams to ensure adherence to regulatory requirements.
  • Monitor and track trust assets, transactions, and financial activities to ensure accuracy, integrity, and timely reporting.

About you

  • 2+ years experience in back office or operational-related roles
  • Proven experience in operations management, process improvement, or related roles.
  • Attention to detail and a commitment to delivering high-quality results.
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively across teams and departments.
  • Ability to adapt to changing priorities and work effectively in a fast-paced environment.
  • Familiarity with blockchain technology is a big plus.
  • Experience with audits and traditional certifications (e.g., SOC Type II, ISAE 3402) is a plus
  • Familiarity with project management methodologies and tools.
  • You are presently located in Abu Dhabi, UAE, and prepared to commence office-based work.
